1. Build one controlled print-file pack

  • **Logo master:** an editable vector file such as AI, EPS, SVG or a vector PDF. Keep the original PNG as a visual reference, not as the preferred production asset.
  • **Print artwork:** the final design placed on the supplier’s approved template. Supply an editable working file if requested and a print-ready PDF for review.
  • **Colour sheet:** the exact brand colour identifiers, plus the intended print route. Record spot-colour references where needed and CMYK builds when process printing is agreed. Keep RGB and hex values only as digital-reference information.
  • **Font record:** either outline final text in the release file or supply licensed font files when the supplier specifically asks for them. Keep one editable copy with live type for future revisions.
  • **Image record:** list every placed raster image with its effective resolution at final print size. Replace web graphics, screenshots and enlarged low-resolution files.
  • **Approval register:** a one-page table with file name, revision, date, reviewer, decision and comments. This is the source of truth when several people provide feedback.

Do not mix final files, old concepts and supplier exports in the same folder. Archive superseded versions in a clearly labelled folder so they cannot be picked up accidentally.

2. Turn a PNG logo into a printable logo decision

A PNG may be sufficient for a visual mockup, but it can become soft or jagged when resized and does not provide reliable spot-colour or edit information. Ask the original designer for the source artwork first. If it is unavailable, ask whether the supplier or a designer can rebuild a simple mark as vector artwork, then compare the rebuilt version against the approved reference before using it.

Prepare the logo variants that the packaging may actually need:

  • full-colour logo;
  • one-colour dark version;
  • one-colour reversed/light version for dark print areas;
  • approved lockups with and without any tagline;
  • minimum-size and clear-space guidance if fine type or small symbols are involved.

For a tapered cup, do not approve the logo only on a flat rectangle. The final position must be reviewed on the supplier’s cup wrap template, including the seam or overlap area. For a folding box, keep important marks away from folds, glue flaps, lock tabs, cut-outs and edges specified by the supplier.

3. Lock colour targets before the artwork is released

“Match our logo blue” is not a colour specification. The handoff should identify each critical colour by its agreed spot-colour reference, CMYK build or both, and identify the substrate on which the colour is being reviewed. White paperboard, kraft stock, coated stock and different print methods can produce visibly different results.

Separate colour approval from layout approval. A digital proof is useful for checking text, position, version and general composition, but it is not a physical colour match. If colour consistency matters, ask what physical proof or production-like sample is available on the proposed material and retain the approved reference with the project record.

Also confirm whether the art uses one colour, multiple spot colours, process CMYK, white underprint or any special finish. Do not add those production instructions from a generic checklist; ask the supplier what is available for the exact product and order route.

4. Request the exact dieline—then design on it

A dieline is the supplier’s flat production template. It should show the cut path, folds or scores, glue or overlap areas, printable area, bleed and safe zones. The exact geometry depends on the supplier’s tooling and forming method, so a downloaded template or a blank rectangle is not an interchangeable substitute.

For a cup, request the template for the exact capacity, wall construction and manufacturing route. A cup body is laid out as a tapered wrap, not as a straight label. Confirm the rim, bottom, seam/overlap, printable height and any no-print zones.

For a meal box, request the template for the exact style, dimensions, material and closure arrangement. Confirm which panels are outside-facing, which areas fold or glue, and whether windows, vents, handles or labels change the available artwork area.

Keep the supplier’s dieline on its own locked, non-printing layer. Keep artwork on separate layers. If special instructions are required—such as a finish, a white base or a varnish area—use the supplier’s naming and layer conventions rather than inventing your own.

5. Confirm dimensions and structure before final layout

A print file cannot correct a product mismatch. Before final art, record the exact configuration to which the dieline belongs.

For cups, confirm capacity, top and bottom diameter, height, wall construction, material/lining, lid relationship, intended use and the supplier’s printable-area restrictions. For meal boxes, confirm the style, internal dimensions, material, board or wall construction, closure, compartments, coating or barrier discussion, and whether printing is outside only or on more than one surface.

Put the configuration name and revision on the proof. If the cup size, box structure, material, lid relationship or print route changes, treat the old dieline and proof as superseded until the supplier confirms what can carry over.

6. Use supplier-specific preflight values, not generic numbers

Bleed, safe-zone distance, minimum line weight, minimum type size, ink limits, PDF standard and image-resolution requirements can vary by product, substrate and process. Ask for the supplier’s artwork specification sheet and apply those values to the final file.

As a working check, make sure that:

  • critical copy and logos do not cross trim, fold, score, seam or glue boundaries;
  • raster artwork is evaluated at its placed size, not at its original pixel dimensions;
  • placed images are embedded or packaged as the supplier requires;
  • final artwork has no hidden old versions, placeholder copy or accidental dieline edits;
  • the release PDF and editable source carry the same revision identifier;
  • the person approving the file can see the product name, configuration and supplier template revision.

Do not promise a fixed bleed, safe zone, minimum type size or line weight in an RFQ before the supplier confirms the production requirement.

7. Sample in stages so each approval means something

Different samples answer different questions. Label each one with the project and revision so a reviewer cannot confuse it with an older option.

**Blank structural sample.** Use it to inspect the size, shape, assembly, closure and fit before print artwork is final. Pack the intended food or beverage where relevant and record what was observed rather than assuming that a blank sample proves every performance outcome.

**Digital proof.** Use it to inspect file version, copy, logo placement, panel sequence, print boundaries and the requested colour callouts. Mark comments on one controlled proof; consolidate feedback before replying to the supplier.

**Physical printed or production-like sample.** Use it to review the applied artwork on the proposed product and material: colour appearance, registration, readable copy, seam/fold interactions and final construction. A physical item is especially useful where substrate appearance or formed geometry matters.

A sample should have a clear decision: approve, approve with listed changes, or hold. “Looks good” in an email is not enough if the attached proof revision is unclear.

8. Prevent rework with a simple change-control rule

Use a single rule: a change to artwork, colour, product size, material, structure, dieline or print method triggers a review of what must be re-approved.

Maintain a short change log with the old revision, new revision, reason, affected files, supplier response and approval decision. Send one consolidated change list rather than separate comments from marketing, operations and procurement. Before production release, compare the final supplier proof against the approval register line by line:

  • correct product configuration and template revision;
  • correct logo master and logo version;
  • correct colour targets and print route;
  • correct copy, language and legal/operational marks provided by the buyer;
  • correct location of folds, seams, glue areas and safe zones;
  • correct sample/proof reference and written approval;
  • correct quantity and any order-specific requirements still to be confirmed.
