A practical approval file links the use case to the material structure and the evidence. It should include the current declaration or compliance statement, supporting reports, product and site scope, relevant laboratory information, revision dates, and traceability references. Keep the documents tied to the approved specification rather than to a generic product family.

A physical sample or pre-production proof can help confirm the approved construction, print placement, and intended design before mass production. For repeat orders, retain the approved specification and revision reference so the buyer can identify what has changed.

A well-qualified item can become poorly documented if the supplier changes paper grade, coating, ink, adhesive, raw-material source, or production site without notice. Put a change-notification requirement in the specification or supply agreement. The trigger should require review and, where needed, re-evaluation of the documentation before the revised material is shipped.
