Which Print and Food-Contact Specs Should You Confirm Before Your First Custom Food Box Order?

Why the supplier is asking for so many specifications

Your designer delivered a logo and artwork. That is a brand asset. What the factory needs is a production file — a document that describes a physical object that will be cut, creased, folded, glued, coated, stacked, filled with hot food, and carried in a bag.

Those are different jobs. Most first-order problems come from treating the second job as a file transfer. The gaps are almost always in four places: the artwork was built on a generic template instead of the supplier's dieline; colour was approved on a monitor; nobody said which surface would touch food; and nobody wrote down what "correct" looks like, so there was no basis to accept or reject the delivered run.

Everything below is designed to close those four gaps before money is committed. 1. Dimensions and structure: get the supplier's dieline first

What to confirm about dimensions and structure

  • Finished (assembled) size — length × width × height, and explicitly whether these are internal or external dimensions. Internal dimensions determine whether your burger, salad or rice portion actually fits; external dimensions determine cartoning and shipping. Confusing the two is the most expensive dimension error there is.
  • Flat size — the unfolded sheet dimension. This drives material usage and therefore price.
  • Box style — tuck-end, clamshell, lock-bottom, tray, sleeve, handle box. The same "500 ml" can exist in several structures with different print surfaces.
  • Panel map — which panel is front, back, left, right, top, bottom, and which way each reads after folding. Panels rotate and reverse during folding; a logo that looks upright flat can arrive sideways.
  • Non-print zones — glue flaps, seal areas, handle die-cuts, window positions, and any area the machine cannot print.
  • Board specification — the material and its thickness or grammage. Ask for this as a written value, not as "sturdy".
  • Tolerance — how much variation in cutting, creasing and print position the supplier considers normal. You cannot reject a run for a small shift in print position if you never agreed what shift is acceptable.

The rule that matters most

Do not let the designer work from a template downloaded from the internet or from another supplier's file. Fold positions, flap sizes and glue areas differ between manufacturers even for boxes described with the same nominal dimensions. Ask for the dieline as a vector file, keep it on its own locked layer, and return the artwork with that layer intact so the factory can verify alignment.

2. Colour: define it as a reference, not as a screen impression

What to confirm about colour

  • Colour system — will the job run as process colour (CMYK), as spot colours (a Pantone/PMS reference), or as a combination? This is not a preference; it follows from the print process (see section 3) and the substrate. Do not supply artwork built in RGB: RGB is a screen colour space, and converting it late means the factory guesses at your brand colour.
  • Brand colour reference — supply the reference you want matched, and state whether the match target is a named spot-colour standard, a converted process build, or an approved physical sample. If a colour is genuinely brand-critical, a named spot reference removes far more ambiguity than a process build does.
  • Substrate effect — the same ink prints differently on bleached board, on unbleached kraft, on a coated surface and on a moulded fibre surface. Kraft in particular shifts colours toward its own base tone. Ask which substrate the proof was produced on.
  • Special layers — white ink, metallic ink, and varnish must be named as separate layers if they are available at all. Ask whether they are available on your chosen material and process before designing around them.
  • Who converts — does the factory convert your file's colours, or do they expect the file to arrive already prepared for their workflow? Ambiguity here is a common source of "the blue came back wrong".

What to insist on

A screen is a light source; a printed box is ink on a fibre surface. Request a digital proof to check content and layout, and ask what kind of physical reference is available for colour-critical work. Then write down the acceptance basis: is your approval covering layout only, or layout plus colour appearance? A proof is a reference for judging the run, not a promise that every unit under every light will look identical. 3. Print method: confirm it before the artwork is finished, not after

Different processes have different colour behaviour, different minimum line and type sizes, and different economics at your quantity. Across TakeawayPack's product records, the print method recorded against an item varies by SKU — offset, screen printing, inkjet/engraving, flexographic and full-colour printing all appear, and many records carry no print method at all — so the honest answer for any specific box is "confirm it for that SKU", not "we use process X".

Ask, for your SKU and your quantity:

  1. Which process will this run on?
  2. How many colours can it carry?
  3. What is the minimum line thickness and minimum legible type size on this material?
  4. Is white ink available on this substrate?
  5. Does the process change if I increase or decrease the quantity?

Question 5 matters more than first-time buyers expect: a design that works at one quantity may need to be rebuilt if the run moves to a different process. 4. Bleed, trim and safe area: take the numbers from the dieline

This is where you should be most sceptical of general advice. Bleed and safe-area values are properties of a specific dieline, converting process and machine tolerance — not universal constants. Some suppliers build bleed into the template they send you; others expect you to add it.

So the deliverable here is not a number you found online. It is a written answer from the factory to four questions:

Two placement rules survive across every process: backgrounds, patterns and photographs extend past the cut line as instructed; logos, legal text and barcodes stay well inside it. Never run a barcode across a fold, a gusset, a curved panel or a heavily textured area — and check the barcode on the folded proof, not on the flat artwork.

Then review the assembled structure. A design that reads correctly flat can hide critical text under a flap, behind a handle, or on a panel that faces the floor once the box is built.

5. Finish and coating: state what it is and where it goes

Confirm four things about any finish — lamination, aqueous or UV coating, spot UV, foil, emboss, or plain uncoated kraft:

  • Which finish, named specifically.
  • Which side it is applied to — outside only, inside only, or both. This single answer has more food-safety consequence than the finish name itself.
  • What it does to performance — grease resistance and moisture resistance are functions of the barrier, not of the print. If your menu is oily or saucy, the barrier is a specification, not a bonus.
  • What it does to your claims — a coating can change how the finished pack should be described and handled at end of life. Do not print an environmental claim on the box before the material and finish behind it have been confirmed in writing.

6. Food-contact details: the section first-time buyers under-specify

Stop asking "is it food safe?"

"Food safe" is not a property a box has on its own. Both major regulatory frameworks define suitability by the combination of material, use, food type and conditions.

  • In the EU, the framework regulation for food contact materials — Regulation (EC) No 1935/2004, identified as such on the European Commission's food contact materials legislation page — requires in its Article 3 that materials intended for food contact do not transfer their constituents to food in quantities that could endanger human health, bring about an unacceptable change in the food's composition, or deteriorate its organoleptic characteristics — that is, a judgement about behaviour in use, not a label on a board grade.
  • In the US, the FDA regulates packaging through its packaging and food contact substances framework, where clearances attach to specific substances and specific conditions of use, tracked through notification and regulation inventories.

Tell the supplier these six things

The FDA's own reference tables show exactly why this list is necessary. Its food types and conditions of use tables classify foods into categories such as aqueous non-acid products, acid products, "aqueous, acid or nonacid products containing free oil or fat", dairy, beverages, moist bakery products with a free-fat surface, and dry solids — and classify conditions of use into categories including hot filled or pasteurised above 150 °F, hot filled below 150 °F, room-temperature fill and storage, refrigerated storage, frozen storage, and ready-prepared foods intended to be reheated in the container at time of use. So state:

  1. Which surface touches food — direct contact, or is there a liner, wrapper or bag between food and board?
  2. What the food is — dry, moist, oily/fried, saucy, acidic, dairy, frozen.
  3. How hot it goes in and how hot it gets afterwards.
  4. How long food stays in the pack before it is eaten.
  5. Whether the customer reheats in the pack — this is a distinct condition of use, not a detail.
  6. Destination market — the documentation that is relevant differs by market.

The printing-ink question almost nobody asks

The EU good manufacturing practice regulation for food contact materials, Commission Regulation (EC) No 2023/2006 (also listed on the European Commission's legislation page), sets detailed rules in its Annex for processes that apply printing inks to the non-food-contact side. Inks must be formulated and applied so that substances from the printed surface are not transferred to the food-contact side either through the substrate or by set-off in the stack or reel; printed material must be handled and stored so the same does not happen; and, stated plainly: "The printed surfaces shall not come into direct contact with food."

Practically, that turns into three questions for your artwork review:

  • Is any part of my design printed on a surface that will touch food?
  • If ink is on the outside only, how is set-off in the stack or reel controlled?
  • Does any coating or adhesive sit between the print and the food-contact side?

If your design includes an interior print — a pattern inside a lid, a message on the base — this is the question that decides whether it can be produced at all.

Ask what the grease barrier actually is

If you are packing fried or oily food, the barrier chemistry is a real specification with a real regulatory history. The FDA announced on 28 February 2024 that grease-proofing substances containing PFAS are no longer being sold by manufacturers for food-contact use in the U.S. market, noting that such substances had been applied to items including fast-food wrappers and take-out paperboard containers, and that manufacturers' commitment letters allowed for stock to take up to 18 months to exhaust from the last date of sale. So do not accept "grease resistant" as an answer. Ask what the barrier is, on which side, and what documentation exists for it.

Which documents to request, and how to phrase the request

Ask by SKU, quantity, destination market and claim type — that is the level at which document scope can actually be answered. Under EU rules, materials not yet in contact with food must be accompanied by the words "for food contact" or a specific indication of use, with safe-use instructions where necessary and the name or trade name and address of the responsible manufacturer, processor or seller (1935/2004 Article 15); and where specific measures apply, a written declaration of compliance with supporting documentation available to authorities (Article 16).

7. The proof: what to check, and what your signature means

Check, in this order:

  1. Version — product name, size, capacity, language, and the file version identifier.
  2. Every panel, folded — not the flat sheet.
  3. Content — spelling, legal and labelling text, allergen and storage information, contact details, and anything market-specific. Artwork review by a printer does not transfer responsibility for legally required information to the printer; that stays with you.
  4. Barcodes and QR codes — scan them from the proof where practical, and confirm they are not crossing a fold.
  5. Colour and detail — gradients, fine lines, reversed type, small white text on textured stock.
  6. Structure — window, handle, seal, glue and closure positions, and whether any of them cover artwork.
  7. Food-contact facing — confirm which surface is printed and which surface faces food.

Then state in writing what your approval covers: layout only, or layout plus colour appearance and material. Record the approved version identifier, the date, and who approved it. If material or artwork changes afterwards, request a fresh proof — a revision to a superseded version is how the wrong barcode reaches production. 8. The single sheet to send your supplier

Send this as a table and ask for it back completed. Anything left blank is an open risk.

Two notes on the last two rows. Over/under-run tolerance is a real commercial term in printing and should be agreed before you order, not discovered on the delivery note. If a supplier gives you a firm number for all of these before knowing your SKU and quantity, treat that as a sign they have not looked at your job yet.

What to do next

That sequence costs a few days once and prevents the reprint cycle that makes most first custom orders more expensive than the second.
